Send these essentials first
Include the product category, intended users, target country, first-order quantity and required launch timing. Name any shortlisted models and distinguish mandatory features from optional requests. If the configuration is not decided, say which alternatives you want quoted separately.
For example: “Keyboard project for a distributor. Please quote 2,000 units, our required legend artwork and logo packaging. Identify the exact model, switch and connection configuration; quote alternatives as separate lines.” This is an RFQ format example, not a promise that every requested combination is available.
Make the version and scope explicit
| Brief field | What to record |
|---|---|
| Identification | Project name, buyer contact, RFQ revision and date |
| Product | Category, model shortlist, exact configuration and required compatibility |
| Quantity | Units or complete sets, model/color mix and any separately quoted options |
| Customization | Logo location, finish, artwork, language and packaging |
| Commercial scope | Currency, delivery basis, exclusions, quotation validity and payment proposal |
| Samples and timing | Sample quantity, review window and requested production schedule |
| Open questions | Unconfirmed items and who must provide the answer |
Attach a layout drawing for a keyboard, a configuration list for a mouse, a device-and-connector matrix for a headset, or an itemized component list for a combo.
Use the confirmed purchasing reference
FUNESTY’s standard purchasing reference is MOQ 2,000 units, sample preparation 7–15 days, production lead time 35 days and a 1-year warranty. These are the current baseline terms supplied by our business team.
Confirm model and color mix, customization scope, sample charges, the lead-time start point and warranty service details in your quotation. For bundles, specify the quantity unit explicitly. Ask the team to identify any project-specific difference before you approve the order.
Compare the same offer, not just the final number
Ask suppliers to quote the same configuration and list substitutions or exclusions. Compare sample charges, branding, packaging and freight assumptions separately from the product price. If one proposal uses a different sensor, switch, receiver or packing plan, record it as a different option.

Mark each point as confirmed, pending or excluded. A blank answer should remain an open question rather than be treated as an included feature.
Move from quotation to sample approval
Once you have a shortlist, agree the sample configuration and keep the quotation revision with it. Review the sample using the sample approval record. Use the sample-to-bulk guide to record the production and packing details before an order.
Start with keyboards, mice, headsets or combo sets. If you are still choosing, send the intended use and required connection rather than selecting an uncertain configuration from a photograph.
Practical questions
Can I ask for a quote before artwork is finished?
Send the intended logo position, packaging approach and language requirements, then ask what artwork and approval steps are needed.
What if the quantity or date is not final?
Label it as an estimate and request separately identified options. Keep your desired launch date separate from an agreed production schedule.
